# Admin automation

> Admin automation, part of Stock and ordering: repetitive jobs handed to software and AI, with your people keeping the decisions.

In most firms, skilled people spend part of every week retyping orders, chasing invoices and building the same Monday report. You are paying for those hours. We find the jobs worth taking off their desks and set up the software or AI to do them. Anything that spends money or reaches a customer still goes past a person first. What we build is yours.

## What it does for your business

- **Hours back every week**: Order entry, reports and routine replies get done without anyone typing them. That time goes back to customers.
- **Cash in sooner**: See who owes you, how much and since when, with polite reminders drafted and ready for you to send.
- **Faster replies to new enquiries**: Each new enquiry is researched and a reply drafted while the buyer is still interested.
- **Checks before AI takes action**: Your data stays yours. Private AI can run on a server you own, and a person approves anything that sends, pays or changes something.

## What we deliver

- **AI Lead Responder**: Researches new enquiries and drafts a personalised reply for your team to check before sending. (1–5 business days)
- **Collect and assign new enquiries**: Collect enquiries from forms, quizzes, your CRM and spreadsheets in one place, with an owner, a next step and reminders for each one. (1–5 business days)
- **Sort support requests**: Sort incoming requests, collect the information needed to answer them, suggest a reply and assign each one to the right person. Each step is recorded. (1–5 business days)
- **Task & Project Admin**: Create tasks, update statuses, add comments, link dependencies, and produce progress notes across your project tools from a controlled workflow. (1–5 business days)
- **Investigate system faults**: Read system logs and run approved status checks, then give the support team a written account of the fault and what needs investigating. (1–5 business days)
- **Customer Portal Sync**: Keep project updates, invoices, support requests, documents and quote requests current in your customer portal, using the systems your team already works in. (1–5 business days)
- **Prioritise security fixes**: Collect security scan findings, rank them by severity and assign the fixes. Keep a record of what has been fixed, postponed or accepted, and why. (1–5 business days)
- **Advertising and campaign management**: Research audiences on Meta, Reddit and Google, draft adverts and compare the sales each campaign brings against its cost. A person approves publishing and spending. The same approach can help plan content, prepare follow-up messages and track mentions of your business. (1–5 business days)
- **Unpaid invoices and reminders**: See who owes you, how much, how long it has been outstanding and when you last chased. The system drafts polite reminders and flags overdue accounts for your team to review and send. (1–5 business days)
- **Supplier invoices and payments**: Invoice data read off the page, approvals routed, payments prepared and reconciled. A person still reviews anything that moves money. (1–5 business days)
- **Read documents and invoices**: Extract amounts, dates, names, order numbers, and line items from PDFs or emails, then push structured data into the right system. (1–5 business days)
- **Meeting Follow-Up & Actions**: Turn call notes into decisions, action items, owners, project updates, and customer summaries while the context is still fresh. (1–5 business days)
- **Weekly business report**: The numbers you check every Monday, with what moved and what looks odd, in a report short enough that people read it. (1–5 business days)
- **Customer Onboarding**: Set up each new customer with welcome messages, a project workspace, the documents you need, first tasks and a handover checklist. (1–5 business days)
- **Proposal / Quote Generator**: Use CRM data, call notes, pricing rules, and templates to prepare a draft proposal for review instead of starting from a blank page. (1–5 business days)
- **Project progress and outstanding work**: Create tasks, update progress and show what is held up across the tools your team uses, so people can see what needs attention in one place.
- **System health checks**: A support workflow that reads logs, safe database views, scheduler health, tool errors, and recent activity before drafting an incident note.
- **Security and compliance review**: Bring security findings, named owners, risk notes and outstanding fixes together for a weekly review.
- **Campaign results and recommendations**: Draft adverts for Meta, Reddit and Google, compare sales against campaign costs and recommend which campaigns to stop or expand. A person approves publishing and spending.
- **Customer Care Workspace**: Sync invoices, open tickets, project needs, care events, and documents into a customer-facing portal with a clean internal audit trail.
- **Accounts admin and cash reports**: Track unpaid invoices, draft reminders, prepare bill approvals and report cash figures from your accounts, spreadsheets and customer portal. A person reviews changes before they are made.
- **Technical Runbook Automation**: Start known diagnostics, collect service status, run load tests, and prepare operator summaries for complex technical systems.
- **TRADACOMS EDI Invoicing**: Invoice generation in the UK retail supply chain standard. Transmitted via Lobster/TrueCommerce to major UK builders merchants. COBOL-style implied decimals, GS1 GLNs, strict segment ordering.
- **Sage 50 Accounting**: Two-way sync between Sage 50 and procurement portals using Zynk XML workflows.
- **SAP / ADP / Workday**: Payroll output reconciliation with AI classification. Every line item checked across multiple payroll systems.
- **Companies House**: Bulk processing millions of iXBRL filings. Identifies fast-growing UK companies from employee count changes.
- **Inflow Inventory**: A rate-limited API proxy, live webhooks and a link into order management.

## Process

01. **Find the repetitive job**: We map the recurring task: who starts it, what data is needed, what decisions are safe, and where a human must approve.
02. **Put the right tool around it**: We connect the systems, documents and inboxes the job touches, using the simplest tool that will be reliable.
03. **Set the limits and approvals**: The software does the drafting, routing and checking. Anything that cannot be undone waits for a person. Every run leaves a record you can look back through.

## FAQs

**Does automation mean everything happens on its own?**

No. The software gathers the information, drafts, routes and reports. A person still signs off anything involving judgement, money or a customer.

**Will we have to change the systems we use?**

Usually not. We fit around what you have, older accounts packages included. Your team should not need to learn a new system to get the hours back.

**Do I need to keep paying you?**

No. You own what we deliver and can run it yourself. If you would rather not, System Care is an optional monthly fee and we look after it for you.

**Can my team edit the workflows?**

Yes, where that is useful. Some parts are simple for your team to change. Others need to be exactly right, so we look after them. We write down which is which and show your team the parts they control.

**What if a big customer insists on its own ordering system?**

We have connected suppliers to a national builders’ merchant and to one of the UK’s largest housing contractors, in the exact formats they insist on. Older accounts packages such as Sage 50 included.

**How quickly can it be running?**

A single, well-defined job usually takes 1 to 5 business days. Connecting to a customer’s or supplier’s system takes longer, and the proposal gives you a date.

**Where does my data live?**

Somewhere you control: your own cloud account, or the tools you already pay for. We avoid copying your data anywhere it does not need to be.

**How does pricing work?**

A free call first. We list the admin jobs worth taking off your team’s desks and what each would save, then give a fixed quote with a date on it. Some jobs are cheaper left with a person, and we will say which.
